Position Description

Inter-Fluve is seeking a well-organized and positive Project and Office Administrator to support our team in Cambridge, MA and across the country. The ideal candidate is reliable, shows commitment to following through on tasks and is motivated by helping others. This position is expected to be roughly 60% project administration and 40% office support and administration.

This position requires excellent communication and multitasking skills and successful collaboration with many different team members, including working directly with technical staff and project managers across the country.

It is expected that this position will report to the Accounting Team Lead and will work in close coordination with the East Coast Regional Director.

Location: Cambridge, MA

Work Schedule

This is a Monday-Friday, in office position.

Required Qualifications 

  • Bachelor’s degree or equivalent experience.
  • Minimum of two years of professional experience in an office environment or equivalent experience.
  • Knowledge of accounting principles and procedures.
  • Candidate should be highly proficient in common software packages (e.g., Microsoft Word, Excel, and email/calendar platforms.
  • Excellent written and verbal communication skills.
  • Demonstrated customer service skills.
  • Ability to multi-task and prioritize.
  • Ability to anticipate project needs and identify work assignments independently.
  • Successful candidate will be proactive, self-motivated and able to excel at working with local and virtual teams.
  • This position may require lifting and/or moving of equipment and/or supplies weighing up to 40lbs.
  • Valid Driver’s License

Additional Desired Qualifications

We do not expect applicants to bring all the desired qualifications, but these offer insight into additional useful qualifications.

  • Bachelor’s degree and/or continuing education in a related field (eg., business administration, accounting, finance, economics, associate’s degree in accounting or business, bookkeeping or business operations certificates) preferred.
  • Experience with Ajera, other Deltek programs, or common billing programs such as QuickBooks is a plus.
  • Interest in or existing experience in IT support.
  • Experience in event planning.
  • Previous experience managing an office space.
  • Experience billing projects using per diem rates.
  • Experience with or knowledge of the federal contracts process and SAM.gov.
  • The desired candidate should have an appreciation for the outdoors and the natural environment.

Essential Duties

Office Administration:

  • Manage relationships with office vendors, service providers and property management.
  • Point person for maintenance of office, mailing, shipping, supplies, equipment, and errands.
  • Stock office kitchen and promote office organization.
  • Coordinate with IT department on all office equipment and provide light IT support to staff.
  • Assist in onboarding new employees as needed and set up office spaces for new employees.
  • Plan and execute company events.
  • Book travel for technical staff as needed.
  • Additional office related duties as assigned.

Project Administration:

  • Support multiple Project Managers and leadership team in project financial tracking, accounting, client billing, and record keeping.
  • Invoice projects monthly based on contract language and in collaboration with Project Managers.
  • Set up new projects using accounting software according to contract, client, and project manager direction.
  • Responsible for project accounting file organization, digital documentation of all project related information, and project closeout.
  • Monitor and communicate contract dates and budget parameters.
  • Respond to requests for more detail from clients, investigate all project expenses not billed to clients, and review and seek approval all project-related billings to clients.
  • In concert with leadership, provide guidance to technical staff around company standards as they relate to billing expenses to clients and project-related travel.
  • Interact with clients to assist in resolving project accounting related issues.
  • Data entry tasks include but may not be limited to:
    • Reviewing and entering vendor and subcontractor invoices
    • Updating vendor details as needed
    • Managing projects file organizationReview and follow up on unpaid invoices.
  • Assist in contracts administration and related duties.
    • May assist in planning regional on and offsite team activities and complete ad hoc tasks as needed.
    • Additional duties as assigned.
